Sample: Running a weekly payrunSample
Steps
The Thursday payrun, start to finish — including what to do when a timesheet is missing.
1. Chase missing timesheets on Wednesday, not Thursday
Payroll specialist · 20 min
Run the missing-timesheet check a full day before the payrun. Chasing on payrun day is how people get paid late.
2. Check the readiness panel and clear every blocker
Payroll specialist · 25 min · Tools: SPM Payroll
The payrun wizard flags profile gaps — missing bank details, missing TFN declarations, missing super fund. Clear them all before you continue; none of them get better by being ignored.
- Bank details present for everyone being paid
- Super fund recorded
- TFN declaration on file
- Leave requests approved or declined
3. Review the variance against last week
Payroll specialist · 20 min
Anything more than 15% off last week gets explained before you go further. Overtime, a termination and a keying error all look identical in a total — only the variance check tells them apart.
Warning: A payrun that is materially different from last week and has no explanation is an error until proven otherwise.
4. Get the employer to approve
Payroll specialist · 15 min
Send the summary to the employer contact and wait for written approval. We prepare payroll; the employer authorises it.
5. Lodge STP and file the payslips
Payroll specialist · 10 min · Tools: SPM Payroll, ATO
Lodge on the day of payment, not after. Save the lodgement confirmation and confirm payslips went out.
